FOUNDATIONS OF ACADEMIC WRITING WORKSHOP TEACHER.

POSITION LISTING CONVENTIONS (WHY DOES IT SAY "MAILTO:")

All Japanese telephone and fax numbers are given as if being dialed in Japan. See the "Contacting An English School By Phone" section below for more details.

E-mail addresses are written in HTML code, which many e-mail programs can use to send messages automatically (generally, if the text appears blue, or is underlined on your screen, then your program supports this feature). If your e-mail program does not support this feature, the actual e-mail address will be the text immediately after the HTML "mailto:" prefix. In other words, if you see an address like <mailto:editor@ohayosensei.com>, it means that the actual e-mail address is <editor@ohayosensei.com>.

If you choose to reply by e-mail, don't send your CV/resume as an attachment (unless the employer specifically requests that, of course) -- copy the text directly into the body of your e-mail message. Yes, all that fancy formatting will be lost, but attachments often get badly garbled -- or deleted, or filtered out as spam. You're trying to get hired, not win a design contest.

E-mailing your application to a bunch of schools using the "cc" function looks really tacky. Even if your ARE sending out lots of resumes, take the extra time to address each institution individually. Of course, make sure your computer's antivirus software is up-to-date. And give all your correspondence clear, simple and professional subject headings.

Pay attention to geographic requirements like "APPLICANT MUST CURRENTLY RESIDE IN JAPAN" or "Applicant NOT REQUIRED to reside in Japan." Save yourself time and money (postage and faxes add up fast) -- and save the hiring institutions from unnecessary work.

Reply promptly when an institution contacts you.

When available, salaries are reported in Japanese Yen (so you can figure out what your salary is worth today, not six months ago). Use the "Exchange Rates" table at the top of this issue to convert the salary into your currency.

Many schools have a salary scale, rather than a "set salary," based on factors like experience and qualifications (degrees, certifications, etc.). Try to find out where you fall on that scale early in the hiring process (while there's still time for a little negotiation).

"Proper visa" means that the applicant must currently possess a valid working visa (which usually includes spousal visas and working holiday visas). That doesn't necessarily mean an institution isn't willing to provide sponsorship -- but it does mean they want you to start working (legally) right away.

"University degree" means graduation from a four-year institution or an internationally-recognized equivalent -- a baccalaureate diploma.

When schools ask for a photo, they want a clear, recent one (jpg is a good choice for e-mailing). CVs, resumes, cover letters, letters of recommendation, references, etc. should always include current contact information: addresses, telephone and fax numbers (a current e-mail address and a link to an on-line resume/home page couldn't hurt, either). Don't e-mail huge files of any type.

If you want your snail mail application materials returned, it's always best to include a SASE (a Stamped, Self-Addressed Envelope -- and remember that only Japanese stamps work in Japan).

Many institutions (like, universities) prefer to receive application materials by registered mail -- if they ask for registered mail, send it by registered mail. Universities often track positions by reference numbers -- if one is mentioned, include it when you apply. And CV, of course, stands for "curriculum vitae."

Keep in mind that most institutions have limited resources (i.e. clerical help) and can only respond to applicants they are interested in -- if you don't hear back within a couple of weeks, it's probably time to move on ...

CONTACTING AN ENGLISH SCHOOL BY PHONE
Check your time zone, then check Japan's -- don't try calling (or sending a fax) in the middle of the night! To call Japan from the US, dial 011 (the international code), 81 (the country code for Japan), the city code without the first "0" (Tokyo's code is "03", so you'd just dial "3"), and then the local phone number. For example, a number listed as "03-3713-7046" in O-Hayo Sensei would be dialed (from the US) as "011-81-3-3713-7046." Make sure the same series of numbers applies from your country. Unless you're comfortable speaking Japanese on the phone, don't try it (a simple "moshi moshi" can get you in trouble fast). But don't worry -- you're calling an English school, someone there must speak it! Just be patient, and apologize frequently.

CONTACTING AN ENGLISH SCHOOL BY MAIL
Including a Japanese language version of your letter (or at least a few sentences of greeting) will make a good impression. In any case, write simply and plainly. Avoid slang and jargon. Be honest and sincere about yourself and your qualifications, but don't sell yourself short. Mention any teaching experience. If you know Japanese, say so. Enthusiasm counts. Indicate that you plan to stay in Japan for a long while (if true, of course). If you already reside in Japan, say so -- and indicate where. If you include a photo, make it a good, recent one (this is not the time to use up old high school graduation photos). Above all, be clean and neat.
